[Additional context or considerations]When to use this template
- Client requests revisions outside the agreed scope. Acknowledge the request, scope the impact, decide whether it's billable.
- Round-2 or round-3 revision request where you want to remind the client of the contracted limit while staying collaborative.
- Internal revision after a stakeholder review where multiple opinions need to be reconciled before next steps.
Customize for your workflow
- State whether the revision fits the original scope or counts as new work. Not in a gotcha way — in a 'here's what's covered, here's what would be additional' way.
- Time-box revision rounds. 'I'll incorporate by EOD Thursday' beats unscoped 'I'll get to it'.
Common questions
When is a revision out of scope?
When it changes the brief. Tweaks to existing direction = in scope. Changing direction (different visual style, new audience) = new work.
How do I push back gracefully?
Acknowledge what they want, then state the impact ('this would add X hours / Y dollars'), then offer a path forward. Don't argue the merit; just describe the cost.
