- Pre-start welcome email week before day 1. What to expect, what to bring, who'll be there to greet them.
- Day-1 welcome message from the manager or team. Personal, sets the tone, includes the first thing they should do.
- 30/60/90 day check-in templates — same structure each time, captures ramp progress without manager-by-manager variation.
Customize for your workflow
- Send the laptop/equipment tracking link separately. Mixed in with welcome messaging it gets lost; on its own it actually gets opened.
- Match the level of formality to your culture. A welcome email from a 200-person enterprise sales team should look different than one from a 10-person startup.
Common questions
Should onboarding emails come from HR or the manager?
Mix. HR for benefits/admin/IT. Manager for 'here's our team and how we work'. New hires need both, but they shouldn't be in the same email.
How much should the new hire do before day 1?
As little as possible. Anything beyond filling out HR forms feels like you're stealing their last week of freedom. Save the prep work for week 1.
