- Initial outreach to a candidate after a positive screen. Propose two specific time slots plus a calendar link as a fallback.
- Confirmation email day-before with location/Zoom link, who they'll meet, and what to expect (format, duration, what to prep).
- Post-interview follow-up while you decide. Sets expectations on timeline so the candidate doesn't ghost competing offers.
Customize for your workflow
- Include the interviewer's role and a one-line bio. Candidates prepare better and feel less like they're walking into a black box.
- If the role pays specific compensation, restate the range in the email after a phone screen. Cuts out late-stage surprises.
Common questions
How quickly should I respond to a candidate's application?
Within 48 hours for the acknowledgment, even if you're not moving forward. Slow response is the #1 candidate complaint about tech recruiting.
Should I share interview questions in advance?
For some roles yes. For coding interviews and case studies, sharing the format and topic area beats keeping it secret. You're hiring for the role, not gotcha-testing.
