- Documenting a process for the first time so it can be handed off without 1:1 training. Same template structure across SOPs makes them findable.
- Updating an existing SOP when the process changes. Versioning, change log, and what's different.
- Cross-team SOP for handoffs (sales → CS, dev → support) where consistency between teams matters more than internal optimization.
Customize for your workflow
- Include a 'when to deviate' section. SOPs that pretend to cover every case fail in the edge cases; ones that name the judgment calls succeed.
- Keep ownership clear. SOP without a named owner and review date goes stale fast.
Common questions
How detailed should SOPs be?
Detailed enough that a new team member could execute without a teammate watching. Less and they fail; more and nobody reads them.
Where should SOPs live?
In your team's actual reference tool (Notion, Confluence, internal wiki). Anywhere people don't already check daily and they'll be ignored.
