- Suggesting times for a meeting where you list two specific options plus your calendar link as fallback.
- Declining a meeting politely when you don't have time or it's not the right venue. Suggest async alternatives if relevant.
- Rescheduling proactively when you realize a slot won't work, ideally before the other person has prepped.
Customize for your workflow
- Default to 25 or 50 minute meetings, not 30 or 60. Forces focus and gives buffer between back-to-backs.
- Always propose times in the recipient's timezone if you know it. Sending Pacific times to East Coast colleagues forces unnecessary mental math.
Common questions
Calendar link or specific times?
Specific times for the high-intent recipient (signals you actually want to meet). Calendar link as fallback. Calendar-only is fine for known repeat scheduling but lazy for first-time outreach.
When should I decline a meeting outright?
When async would work better, when it duplicates a meeting that already exists, or when the agenda doesn't match the time block. Be specific in the decline so it doesn't read as cold.
