- Conference or business travel auto-reply that signals limited availability without going full out-of-office.
- Holiday closure for the whole company with the reopen date and any emergency-only contact path.
Customize for your workflow
- Always include the date you're back. Open-ended 'I'm out for a few days' creates uncertainty for senders.
- Name a real person to contact, not a generic shared inbox, for urgent escalations. Generic inboxes get ignored over holidays.
Common questions
Should I respond at all when I'm out?
Don't. The whole point of OOO is uninterrupted time. Senders see your reply, they expect responses. Resist.
What about senior leadership / important clients?
If someone is so important you can't be away from their email, then someone on your team should be empowered to respond. Set that up before leaving, not in your auto-reply.
