Hi {{cursor}},
Thank you for your interest in [Product]. I would love to set up a personalized demo for you and your team.

Would any of these times work?
- [Option 1]
- [Option 2]
- [Option 3]
Looking forward to it.
Best regardsDiscovery Call Request
Hi {{cursor}},
Before we dive into solutions, I would love to learn more about your current setup and goals. A quick discovery call would help me tailor our conversation to what matters most to you.
I have a few questions I would like to cover:
- What is your biggest challenge with [area]?
- What tools are you currently using?
- What does success look like for your team?
Would [date/time] work for a 20-minute call?
BestExecutive Meeting Request
Hi {{cursor}},
I would like to request a brief meeting with you to discuss a strategic opportunity that could impact [Company]'s [area] significantly.
Our team has been working with several companies in your space and we have identified [key insight] that I believe would be valuable for your leadership team.
Would you have 20 minutes this week? I am happy to work around your schedule.
Best regardsLunch Meeting Invite
Hi {{cursor}},
I would love to continue our conversation over lunch. My treat.
I have a few ideas about how we could help [Company] with [area] and I think a casual setting would be perfect to explore them.
Are you free any day next week? I am happy to come to your area.
Looking forward to it.
BestVirtual Coffee Chat
Hi {{cursor}},
Would you be up for a virtual coffee chat? No agenda, no pitch - just a chance to connect and learn about what you are working on at [Company].
I always enjoy meeting people in [industry] and exchanging ideas.
How does [day] at [time] look?
BestQuarterly Review Meeting
Hi {{cursor}},
As we approach the end of Q[X], I wanted to schedule our quarterly review. This is a great opportunity to:
- Review results from last quarter
- Discuss any challenges or roadblocks
- Align on priorities for next quarter

I have availability on [dates]. Which works best for you?
Best regardsPartner Meeting Request
Hi {{cursor}},
I believe there is an interesting partnership opportunity between [Your Company] and [Their Company]. Our customers frequently ask about [overlapping area], and I think together we could deliver something special.
Would you be open to an exploratory conversation? I am thinking 30 minutes to share ideas and see if there is alignment.
BestReschedule Request
Hi {{cursor}},
I apologize, but I need to reschedule our meeting originally set for [date/time]. Something urgent came up that I need to attend to.
Would any of these alternative times work for you?
- [Option 1]
- [Option 2]

I appreciate your flexibility and look forward to our conversation.
Best regardsPost-Event Meeting
Hi {{cursor}},
It was great meeting you at [event] yesterday. I really enjoyed our conversation about [topic].
I would love to continue the discussion in a more focused setting. Would you be available for a 30-minute call next week?
I have a few ideas I think you would find interesting based on what you shared about [their challenge].
BestWhen to use this template
- Inbound demo request lands. Reply within an hour with two specific time options and a calendar link.
- Outbound discovery call ask after a positive first email exchange. Frame as a 15-minute conversation, not a 'demo'.
- Follow-up meeting after a prospect went quiet between calls. Recap the open question and propose the path forward.
Customize for your workflow
- Default to 25 minutes, not 30 or 60. Easier to fit into busy calendars and forces you to focus.
- Suggest two specific times in the email body, not just 'let me know what works'. Friction kills reply rates.
Common questions
Should I send a calendar link or specific times?
Both. Specific times in the body for the high-intent reader, calendar link as a fallback. Calendar-only feels lazy in early-stage outreach.
What if the prospect asks for a 60-minute demo?
Push back to 30. 'I can usually cover the relevant parts in 30 — happy to extend if useful.' Most demos drag because they're booked at 60 by default.
