- Quote request from a prospect who already knows what they want. Skip the discovery preamble, get to numbers.
- Post-call recap with embedded proposal so the buyer has everything in one thread for internal forwarding.
Customize for your workflow
- Always include a 'this proposal is valid until X' date. Prevents quotes lingering for months and forces a decision.
- Frame pricing in the customer's terms (per seat, per project, per month) — not yours. The same number reads differently in different framings.
Common questions
Should I send a PDF proposal or put it in the email body?
Body for shorter proposals (under $10k or single-line items). PDF for anything procurement will need to forward. Match what their internal review process expects.
How detailed should the scope be?
Specific enough to prevent scope creep, vague enough to not lock yourself into 200 micro-deliverables. Two paragraphs of in-scope, one of out-of-scope, lands well.
