Best regardsWhen to use this template
- Recurring meeting (weekly 1:1, sprint planning, leadership sync) where the same template each week makes notes searchable later.
- One-off meeting with a clear agenda where you want the notes to capture decisions plus next steps without forcing you to format on the fly.
- Async meeting follow-up template that becomes the 'what we agreed' record everyone can reference.
Customize for your workflow
- Always include 'Decisions made' and 'Action items (owner, due date)' as separate sections. Mixing them means actions get lost.
- Send notes within 24 hours. Notes that arrive a week later don't get read or referenced.
Common questions
Should I capture verbatim quotes or just summary?
Summary plus key quotes. 'X said: "we're not going to do Y"' is sometimes load-bearing later. Verbatim transcripts of full meetings are noise.
Who owns capturing notes?
Decide before the meeting. Default to the meeting organizer or rotate among attendees. 'Whoever' results in nothing.
